THE PRESENT SYSTEM

2.1 Overview

The present system to get Sale’s/Sale’s Order from a company is very cumbersome. In the present system the customer’s gets Sale’s Order from a company with the help of a phone call or directly visits to the Company/Dealer. In which the Customer’s has to wait for a lot of time to gets his or her turn. In order to make this Sale’s/Sale’s Order System is also with the help of phone call we will first study the present system so that we get to know about the flaws and shortcomings in the present system. This study will help us to design such a Sale Supply System, which will be free of all the flaws in the present system, and will also facilitate both the Customer’s/Supplier’s and Company. In the present system there is no proper record storage and storing the information about the Customer’s/Supplier’s/Expenses. The aim of this study is to digitize and also improve the Sale and Supply System for the Customer’s and Company.

2.2 Drawbacks in Present System


When the Customer’s visit the Company/Dealer the Customer’s has to wait for a lot of time to his or her turn and sometimes there is no Product’s available at that day because all the Sale’s Product or Sale’s Order of Product’s are given on the base of "first come first serve". So the Customer’s has to go too early to the Company/Dealer else where he has to wait. This system has many limitation and shortcomings some of them are listed below.

2.2.1 Time Consuming


The present system to get Product’s from a Company is very time consuming. Although the customers can get his Product’s with the help of a phone call but the Customer’s just get a number not the exactly time so the customer has still to wait for some time. If the customer’s visits directly to the Company/Dealer without making any call to the Company/Dealer  then he or she waste a lot of his time to get his or her turn. If the customer’s give payments to Company/Dealer then Salesman search their name manually in register (Paper work) if found then paid their amount means this process is not quick/fast.    

2.2.2 No Storage Media for Customer History


In the present system there is no proper storage media to maintain the history of customers/suppliers and related Product’s. Company does not kept any record of the visited Customer’s/suppliers.

2.2.3 No Expenses Record


In the present system there is no proper storage media to maintain the history of business expenses. Company does not kept any record of our expenses.

2.2.4 Not a Respected Method

In the present system when the Customer’s visit the Company without making a call Customer’s face a lot of problems to get Sale’s/Sale’s Order. Because a large number of Customer’s are there. Sometimes the Customer’s quarrel with each other on Purchase Product’s.

2.2.5 No Specific Reports


In the present system the Company have no specific reports about the Customer’s/ Supplier’s that how many Customer’s Purchase what type of Product’s in a week or in a month. Normally the Salesman of the Company enter the name and Purchase Number of the Customer in a register but there is no proper method of report generation.

2.2.6 Customer Satisfaction


The present system makes Customer’s unhappy. Because the Company doesn't know in advance that how many Customer’s he or she has to examine in a day. If the number of Customer’s increased then the time slot for Customer’s is decreased this makes the Customer’s unhappy. Company/Dealer gives a limited time to his Customer’s. In this limited time the Company attend all the Customer came to the Company. Therefore the time slot per Customer’s is decreased. So the Customer’s is become unsatisfied from the Company/Dealer.

2.3 Proposed System

Since we have discussed that the present Customer Exim System is lengthy and time consuming. After a detailed study of the current system, it is a good time to propose a new system which is based on computer Desktop Application. As computer is one of the leading technology now a days, so we propose an computer based system that will fulfill the requirements of Customer’s Demand and Company easily and will be the solution to the problems faced by Customer’s and Company/Dealer. The proposed system is aimed to remove all the drawbacks and limitations of existing system and making it more responsive to the Customer’s and Company/Dealer needs. In the proposed system, we have tried our best to meet all the objectives of the Sale,  Purchase, expenses system. The major objectives of the proposed system is to improve the sale and Supply system for the Company/Dealer.

2.4 Functions of Proposed System


The new system will perform the following functions:

2.4.1 Sale and Sales Order.

In the proposed system the Daily bases Customer add to System. They have to fill a very simple form. After submitting this form the customer get sale and sale order’s and send the sale order invoice to the email account of the customer then a Company will set a schedule and a Customer’s will get his Sales Order and save the proper record of the customer’s about their Sale and Sale’s Order.

2.4.2 Supply

The second major function of the proposed system is to Purchase Product from supplier and save the proper record of the supplier supply record.

2.4.3 Expenses Record

The third major function of the proposed system is to save the business expenses with details reports both on screen and printer and also save the expenses record.

2.4.4 Reports

The third major function of the proposed system is to produce well documented details reports both on screen and printer.

2.4.5 Security

The proposed system will provide enough security against illegal accesses to data (Customer’s history, Sale’s time and Company/Dealer  setting). To avoid an unauthorized user from accessing the system, there will be a password entry form. To access the system, one should enter valid user id and password otherwise one cannot access the data.

2.5 Advantages of Proposed System


In contrast to old Customer’s Examine system the proposed system has the following advantages:

2.5.1 Quick and Efficient

The main advantage of the proposed system is that it is not time consuming. A Customer can get Product’s  sale and Sale’s Order Satisfaction message is send on customer email. The Customer’s has no need to wait for a long time. In the proposed system a fix time slot is allocated to the Customer’s.

2.5.2 Customer’s/Supplier’s History

In the proposed system the Customer’s/Supplier’s history is stored in database. If the Customer’s/Suppliers visits next time to the Company/Dealer then the Company/Dealer can retrieve the Customer’s/Suppliers history.

2.5.3 Respected Method
The proposed system is much respected in the Customer’s point of view. The Customer’s face no problem while setting an Exactly Time of our sale order. The Customer’s want to Sale’s Order, setting through phone call from the Company. The Customer has no worry about his or her turn because a fix time slot is allotted to them.

2.5.4 Search a Related Product’s.

In the proposed system a search is available For Product’s. The User’s can search a Product by its Category. The user/Salesman can see all the information about the Product’s.

2.5.5 Search a Related Customer/Supplier History

In the proposed system the search are available through this search the user can search all the record of the customer Sale , Payment etc and also the supplier.

 2.5.6 No Waiting Time

In the proposed system the internal waiting time is much shortened, the access time is about a few clicks and Company/Dealer time is utilized efficiently.
